The following list describes various ways you can utilise Business Support. This list is published to give you ideas on how you can personally benefit from the services of Business Support.

 

Remember all documents created by or used by Business Support can be quickly and easily transmitted via email attachment, fax, delivery of diskette or hard copy using overnight delivery, priority mail or regular postal services.

 

 

SECRETARIAL SERVICES

  1. You need to confirm sales appointments made for the week. The list is faxed to Business Support. Business Support calls the appointments and notes who is confirmed and who must be rescheduled. The list is faxed back to you.

 

RESEARCH

  1. You are selling business success tools and seminars. You has Business Support research a target industry. Once a list of companies has been prepared, Business Support calls to identify a contact individual. Business Support prepares and mails introductory material. After a specified time, Business Support calls to verify information has been received and to schedule a sales appointment.

 

  1. You are interested in what competition exists online. Business Support can do a keyword search and list the appropriate websites/findings back to you.

 

  1. You are preparing an advertising plan and emails what further information is needed. Business Support contacts possible advertising places on the Internet, magazines, newspapers, etc. and acquires information on pricing, publishing dates, publishing deadlines, payment policies, etc. All information is compiled into a report for you to review.  

 

WORD PROCESSING/PRESENTATIONS

  1. You are preparing a report and need the draft copy to be formatted. You send the document via email attachment to Business Support. Business Support edits and formats the document and returns the finished report via email attachment.

 

  1. You are preparing a seminar and need a PowerPoint presentation prepared. Sketches of diagrams and charts are faxed to Business Support. Business Support prepares the PowerPoint slides and sends the document to you via email attachment.  

 

  1. You are preparing a seminar and need a questionnaire fact sheet from each participant prior to the seminar. You fax the questionnaire along with a list of participants to Business Support. Business Support types the questionnaire; calls each participant, obtains their fax number/email address and faxes/emails the questionnaire; tracks each completed questionnaire and calls the participants who did not respond timely; summarizes the questionnaire responses on a report; and delivers the report to you via email attachment.

 

DATA PROCESSING/DATABASE MANAGEMENT

  1. You collect business cards all month long. At the end of the month, all business cards collected are mailed to Business Support. Business Support enters the data into a database and returns the database to you via email attachment.

 

  1. You email all new prospect leads to Business Support. Business Support enters the information into a contact database, and using mail merge sends an introductory letter. Business Support monitors the marketing follow-up program sending a pre-determined marketing piece every two weeks. Each week the database is sent to you via email attachment so you have a record of the transactions. When a prospect responds, you email Business Support to remove them from the active marketing follow-up program.  

 

  1. You are preparing a direct mailing and needs to verify the database. The database is sent to Business Support via email attachment. Business Support telephones each name and verifies name, spelling, title and address. All corrections are made, old names are deleted, and new names are added. The corrected database is zipped and returned to you via email attachment.

 

  1. Your fax copies of business cards gathered at a presentation to Business Support. Business Support enters the information into a contact database, uses mail merge to produce a follow-up letter, uses a signature font (and colour ink) to sign your name, and mails all letters.

Business Support designs and prints certificates and may use pre-designed paper stock, seals and/or ribbons. The completed certificates are delivered to you to issue to participants upon completion of the seminar OR they can be mailed directly to each participant.

 

  1. You need membership certificates. Business Support can design and prepare certificates and may use pre-designed paper stock and/or colour printer.

 

  1. You want to publish a quarterly newsletter. You provide the content and the mailing list to Business Support. Business Support types and prepares the newsletter, prepares labels, and mails the newsletter.

 

TRANSCRIPTION SERVICES

  1. You send micro-cassettes via overnight delivery to Business Support to transcribe. Business Support types the report and sends to you via email attachment.

 

  1. You need a telephone conversation (i.e., conference call, teleclass, etc.) recorded. Business Support records the call and transcribes the tape for the participants.

 

  1. You dictate letters and memos on a cassette tape and mails to Business Support via overnight delivery. Business Support transcribes the tape, prints the letters on your stationery and mails the following day.

 

MAIL SERVICES

  1. You travel frequently and return to a stack of mail and sometimes miss important correspondence. All mail can be forwarded to Business Support. Business Support can retrieve and review the mail, fax or send overnight, to your hotel, urgent items, respond to routine matters.  Items that can wait for your return can be forward to your office.

 

  1. You need fulfilment services for books, tapes or other materials. As orders come in, you email or fax Business Support with the information. Business Support prepares the package and mails.

EMAIL SERVICES

  1. You cannot keep up with the volume of email and are missing important messages. You set up a general email account (info@mycompany.com). Business Support retrieves all email, sorts, responds to routine requests, and forwards items of importance to you at their personal email account (myname@mycompany.com).

 

  1. You are going on holidays and don’t want to miss important email messages. Business Support downloads all email and notifies individuals you are out of the office. Business Support contacts you with urgent messages.

 

TELEPHONE/FAX SERVICES

  1. You are going on holidays but need to stay in touch with important business calls. You record on his voice mail that urgent calls may contact your assistant and include Business Support’s telephone number. Business Support can then contact you with important messages.

 

INTERNET SERVICES

  1. You need bill paying services plus data entry.  Your bills can be mailed to Business Support, or you can collect all the bills and mail them to Business Support periodically. Business Support can set up a cheque account with payment authorization for both you and Business Support. As the bills are prepared for payment:

 

(a)   Business Support notifies you how much money to deposit into the account.

(b)   Prepare the cheque for payment and mail back to you for signature and mailing.

(c)   If available from your bank, use on-line bill payment services. As bills are paid, Business Support then records the transactions. In addition, Business Support can reconcile bank statements, enter credit card transactions, prepare invoices, make and/or enter deposits, and prepare end of month reports.

 

  1. You need invoicing services only. You send an email to Business Support with the number of hours to be billed to you. Business Support prepares and mails the invoice.

 

  1. You mail annual due invoices upon membership renewal. Business Support prepares the invoices and mails according to schedule. Business Support can also receive payments and deposit into the association’s account. All transactions are recorded and emailed to you.

 

  1. You have several account receivables that are past due. Business Support can mail past due notices or follow up via telephone to collect on past due invoices.

 

  1. You continue to pay your own bills, but need monthly bank reconciliation. You mail a copy of your cheque register along with the bank statement. Business Support enters all data and reconciles the account. The information is sent back to you via email attachment.

 

PURCHASING SERVICES

  1. When available, Business Support can set-up an online account on your behalf with stores that supply you with supplies. When supplies are needed, Business Support places the order with delivery to you.

 

  1. You need to order marketing materials (stationery, brochures, envelopes, etc.). Business Support can obtain pricing quotes; coordinate ordering, delivery and payment.  

 

  1. You are preparing an awards ceremony for the annual company meeting and needs awards/employee recognition gifts. Business Support can research for appropriate gifts, and coordinate the purchase and delivery of same.

 

MARKETING SERVICES

 

  1. You issue a variety of sales brochures. Email requests are forwarded to Business Support. Business Support’s fax number is advertised. Postcards are mailed with Business Support’s address as the return address. Business Support is stocked with a supply of each sales brochure and mails the appropriate brochure upon receipt of request.  Business Support also updates your database with name, address, date and type of brochure requested.

 

  1. You want to monitor customer satisfaction. Business Support types a customer feed-back questionnaire, mails to customers, receives the completed questionnaire, summarizes the responses and issues a report to you.
